Exhibitor Guidelines

The look, feel and style of the event is quite unique in that it can be considered to be a hybrid of a music festival and an automotive lifestyle show. The sound and lighting production at the event will complement the overall event to portray a nightclub/music festival atmosphere.

Every area of the event has been well thought of and catered to the needs and requirements of every exhibitor, we took utmost care to ensure every exhibitor will be satisfied with the event. The majority of the show will be held under covers, the event therefore will be on whether it is rain, hail or shine.

Security is utmost important for us all, whilst there will be HIN staff and security patrolling the event, we still recommend you to stay attended at your display areas at all times and do not have valuables unsecured.

Space

You will be allocated your trade space in the indoor terminal area of White Bay or the outdoor area by the wharf, depending on the sales process discussions. We will send you the floor plan highlighting your space after payment is made. If you have vehicles on display, please be prepared to provide us with the vehicle details, photos and plate numbers so that we can  approve the vehicle(s) and ensure a smooth bump-in for the event.

Whole event program and map will be released closer to event.

Please note – no exhibitor are allowed to sell or giveaway any food and/or drinks to the public – this is a strict venue policy.

Bump in / Bump out

Bump in: Saturday 28 Oct 2023 (time to be allocated closer to event via email)

Bump out: from 9PM on Sunday 29 Oct 2023 (bump out is based on zones and will be communicated closer to the event via email)

All delivery vehicles must unload and then vacate the venue to ensure sufficient space is available for the set up and to ensure the safety of others.

Venue offers limited public parking, for example, some competitors might have a trailer or tow truck etc. More information about parking will be communicated via email closer to event.

Venue Services

Please arrange your own EFTPOS, mobile Internet as the venue does not provide these services. 

Electrical

Power requirements will be referred to our supplier, we will notify you once space is locked in with payment, and you are ready to plan your trade area.

Please ensure all exhibits power connections and extension cords are tidied, secure and do not pose any risk to anyone. The Exhibitor must also ensure the welfare and safety of their staff and workers on site at their area.

Furniture Hire / Trade Stand Set Up

Our preferred supplier will be responsible for assisting our exhibitors with anything to do with their stand set up, carpet, flooring, furniture and more.

Audio Visual

Our preferred supplier will be responsible for assisting our exhibitors with anything to do with their audio visual, trussing and more.

Promotional Models

We encourage all Exhibitors to bring their own promotional models, please note promotional models will also require tickets to attend the event.

Passes and Entry Tickets

Unless pre-arranged, each exhibitor space comes with 5 x Event wristbands.

Entry wristbands will be distributed during the bump-in. All Exhibitors can only enter the event with a wristband.

If you have misplaced or lost your entry wristbands you will need to purchase another one at the ticket office, therefore it is your responsibility to secure them.

Additional entry tickets can be purchased online from our website or on the day at the ticket office.

Exhibitor Vehicles

Any exhibitor vehicles cannot be driven away and/or leave the show for the duration of the whole show.

Any exhibitor vehicles that leaks oil or any sort of liquid that could stain the venue floor will need an oil drip device provided by us.

The venue imposes a strictly no revving and no engine starting during the event, unless approved by HIN Australia management.
